We have been asked, “How do I get my team to attend my monthly calls.”  We realize it can be frustrating if you have a call, make announcements, provide training and then the day after the call a team member contacts you wanting to know what she missed.

You can’t make the calls mandatory, and there are no guarantees you will get 100% of your team on any given call.  In fact if you have 30% of your team on a call you are hitting the average attendance.  Here are three tips that may help you get better attendance.

  1. Make your call something people want to attend. Think about the length of the call.  Use speakers on the call who are prepared to train or make announcements.  Use an agenda.    Vary recognition and match training to the needs of your team.  Keep announcements short and provide an email with the details or links to more information.  Some leaders record the calls and provide a link or call in number to those who could not attend.
  2. Set clear expectations.  Let your team members know that you don’t review material covered in a call so if they miss it, it is their responsibility to find someone who took notes and get the information from them.  Use language that supports attendance, such as “successful Consultants are on the calls because they want to keep informed.”  Be sure to communicate the importance of the calls to new people so that attendance becomes a strong business habit.  Stick with your convictions if someone calls wanting answers on something that was covered on the call.  “Mary, you might want to check with Bev. She was on the call.”  Make these statements without judgment.  You don’t need to scold or nag those who didn’t attend.
  3. Promote your calls.  Promote the value of the call at least a day before it takes place. You may send an email reminder.  If you have leaders, encourage them to personally invite others to be on the call and give them a reason to attend.  End conversations with team members with a reminder for the next call.  “Great, and if I don’t talk to you until our next call on May 22, I will see you there.” Some leaders reward attendance on the calls with points toward new products.  Some leaders do drawings for those in attendance.  You decide what works for you.
